We know how to create an impact and throw an event that attendees won’t forget.

As the events scene continues to climb to pre-pandemic levels and confidence grows daily, there’s never been a better time to look at your strategies to get yourself ahead of the game. When it comes to maximising attention to your brand, an LED screen is the ideal solution. As one of the leading independent full event production and project management companies, we know how to create an impact and throw an event that attendees won’t forget.

If you are a company looking to throw a corporate event, conference or exhibition that stands out, you want to ensure it’s meticulously organised and you utilise corporate AV technology such as LED screens, audio and lighting effects to your advantage as much as possible. Behind every event that happens, there are hours, days, weeks and even months of planning that goes into ensuring it achieves its objectives. This is why you are going to want to ensure it is planned to the slightest detail so even in the unlikely event something were to go wrong, you would have a contingency in place to remedy it. Here we have put together some LED tips for corporate events, conferences and exhibitions.

Be SMART with your planning

Before your event, you need to define your parameters that will ensure your objectives can be achieved on time. By doing so you can track your progress, ensure you are on track and identify if there is anything you can do to make your event more successful in the future. This involves being SMART with your planning – both literally and acronymically.

  • Be specific in your goals (S): This involves outlining who is responsible for which aspect, what steps you need to achieve your goal and what your goal actually is. Think about where you want your LED to be and what you want its purpose to be. Why are you having LED screens at your event and how can they help with your achievements?
  • Ensure your goals are measurable (M): There’s no use having a goal if you don’t define the quantitative factors too. This will make it easier to track how well you are doing and define when you have accomplished your aim.
  • Ensure your plan is achievable (A): While it’s good to aim high, sometimes a plan just isn’t achievable – whether this be due to time, money or something else. You need to take a look at what you’re hoping to achieve and make sure it can be done.
  • Check your plan for your event is relevant (R): Are you throwing an event that people want to go to? Why do people want to come? Consider what you are hoping to achieve from this and how you can ensure people will want to attend. What information will you display on your LED screens that will attract attention, and why?
  • Don’t forget your time-bound (T): Time is precious and it’s important you use it wisely. Define the time-parameters for your project to ensure you don’t run over and stay on track to be ready for opening day/night!

Once you have established all the steps in planning your event incorporating your LED screen into this, you will want to go into a bit more detail. These are some things to consider:

Think about where your screen will go for maximum impact

One of the best things about LED screens is their versatility. As they are made of a number of different panels, they can be put together wherever you require and to any shape or size you need. Because of this you are less restricted in where your screen goes. Consider where it will have the most impact for your event.

Decide on the purpose of your LED screen

As well as a backdrop for a performance, LED video screens can be used for improved wayfinding, to display event information and brand partnerships, to let event attendees know about specific announcements and display advertisements. Decide if you want it to entertain, inform or engage. You can use it to promote and generate high-quality content for your brand, such as to live=stream an event as well as display interactive chats. You could display social media feeds if people tag your company or use a certain hashtag or use it to create an interactive backdrop for your stand. There are so many ways to utilise an LED screen depending on the outcome you’re after.

Couple it with additional audio visual technology and effects

As well as the LED screen itself, think about how you can enhance your event or exhibition with a range of audio visual equipment and effects. You could add in a lighting display in your corporate colours, floor lights that lead to a certain part of the event, or spotlights to highlight information. Add in sound effects from the screen itself or from external speakers and you have an experience designed to wow a multitude of senses.

Be sure to focus on your objectives at all times, ensuring you are hitting your goals and have a rigorous plan in place. The more prepared you are, the better your event will be.
